Sales Game — Rules & Terms
1. Who can take part
1.1 The event is open only to sales executives and sales managers employed by the Group who have been authorised and set up to participate by management. 1.2 Eligible participants are entered automatically. There is no separate registration process. 1.3 Participation is subject to these rules and to any additional instructions displayed on the game site or communicated by management. 1.4 Management may exclude an individual from the event where they consider this necessary because of misconduct, breach of these rules, manipulation of the game, or any other circumstances that could affect the fairness or integrity of the event.
2. The event period
2.1 The event operates only between the start and closing dates displayed on the relevant game board. 2.2 Management may operate the event as a series of weekly or other rounds. Where this applies, each round will have its own board and dates, which will be displayed on the game site. 2.3 A sale, approval or square pick must take place within the applicable event or round period unless these rules expressly provide otherwise. 2.4 Once the final reveal has taken place, the event is permanently closed. No further sales may be approved, no further squares may be selected and no previous result, pick or approval may be reopened or reinstated.
3. Which vehicle sales count
3.1 Only qualifying retail vehicle sales count towards the event. 3.2 Motability, fleet and business sales do not count unless management expressly states otherwise for a particular board. 3.3 Where used vehicles are included on a board, only the vehicle categories specifically identified by management qualify. Unless the board states otherwise, these are limited to demonstrators, ex-demonstrators, courtesy vehicles and pre-registered vehicles. 3.4 Ordinary used vehicle sales do not qualify unless expressly included by management. 3.5 Management determines which vehicle types, models, categories or periods qualify for each board. The game site will identify whether a vehicle being logged is eligible. 3.6 Where the game site identifies a vehicle as ineligible, logging that vehicle does not create an entitlement to a square. 3.7 Management's determination as to whether a vehicle sale qualifies is final, subject to any correction of an obvious administrative or technical error.
4. What constitutes a qualifying sale
4.1 A square is earned only from a genuine, completed and qualifying customer order which has been correctly logged on the game and approved by an authorised manager. 4.2 A sale must be capable of being verified against the Group's normal sales and order records. 4.3 Management may refuse approval where, in its reasonable opinion, a sale: is not genuine; does not meet the eligibility requirements; cannot be verified; has been incorrectly or misleadingly logged; has been duplicated; has been entered in the wrong participant's name; or otherwise does not comply with these rules. 4.4 A participant must not approve their own sale. 4.5 Sales made by sales managers must be approved at group-admin level or by another person authorised by management. 4.6 Management may request evidence or clarification before approving a sale. 4.7 Approval of a sale does not prevent that approval being subsequently reversed where the underlying order is cancelled, found to be invalid, or otherwise ceases to qualify under these rules.
5. Multiple picks
5.1 Management may designate particular vehicles, models, sales types or periods as being worth more than one square pick. 5.2 The number of picks available for a qualifying sale will be shown at the point of approval or otherwise communicated by the game site. 5.3 Each individual pick must be used in accordance with these rules.
6. Selecting a square
6.1 Once a sale has been approved, the participant will be sent a one-time link allowing them to select their square or squares. 6.2 The link expires 24 hours after it is issued. 6.3 If the link expires before it is used, the participant must contact their manager and request a replacement link. A replacement is at management's discretion and does not extend any overall event closing date. 6.4 A square pick which has not been completed before the end of the applicable round expires and cannot be carried forward, unless management expressly confirms otherwise. 6.5 All picks must be completed before the final reveal. Any unused pick remaining when the event closes is forfeited.
7. Free squares and stealing
7.1 While one or more free squares remain on the board, an eligible participant must select a free square. 7.2 Participants cannot choose to steal a square while free squares remain available. 7.3 Once all squares on the board have been taken, a further approved qualifying sale permits the participant to take one square held by another participant. 7.4 A participant may not steal a square which they already hold. 7.5 Where a sale provides more than one pick, the same free-square and stealing rules apply to each individual pick. 7.6 A square may be taken from its current holder at any time after the board has become full and a qualifying pick is available. 7.7 Holding a square does not create any guarantee that the holder will ultimately receive the prize associated with that square.
8. Blind board and fair play
8.1 The board is intentionally blind. 8.2 Squares displayed on the public board may be shuffled and will not identify their underlying prize or, where applicable, their current holder. .3 The square-selection screen will not disclose the holder or prize associated with a square before the participant makes their selection. 8.4 The identity of the previous holder may be disclosed only after a square has been taken. 8.5 Participants must not attempt to identify, predict, manipulate or circumvent the blind nature of the board. 8.6 Participants must not arrange, coordinate or agree with another participant as to which squares should be selected, surrendered or targeted for the purpose of influencing the outcome. 8.7 Any attempt to circumvent the blind-picking system or otherwise manipulate the allocation of squares may be treated as a breach of the fair-play rules and may result in removal from the event.
9. Who wins a prize
9.1 The participant holding a square when the prizes are revealed is the provisional winner of the prize associated with that square. 9.2 The prize is not finally awarded until the vehicle associated with that square has: been invoiced; been delivered to the customer; and been confirmed as delivered by the relevant sales manager. 9.3 The reveal therefore establishes the participant who is first in line for a prize. It does not, by itself, create an unconditional entitlement to that prize. 9.4 Where a prize is associated with a vehicle order which is subsequently cancelled, fails to complete or is not delivered, the square and associated prize will revert to the person who held that square immediately before the current holder. 9.5 The previous holder will then become the provisional winner, subject to confirmation of their own associated vehicle in accordance with clause 9.2. 9.6 This process will continue through the previous holders of the square until a qualifying vehicle delivery is confirmed. 9.7 If the square has never previously been held, or there is otherwise no previous holder to whom it can revert, the associated prize will be treated as unclaimed. 9.8 No participant is entitled to a prize where the qualifying conditions in these rules have not been satisfied. 9.9 Prizes, at their earliest, applying the terms above, will be handed out at the end of the month of September.
10. Prizes
10.1 Prizes are determined by management and may be hidden until the final reveal. 10.2 The same prize may appear behind more than one square. Where this occurs, each qualifying holder may receive that prize.. 10.4 Management may substitute a prize where the advertised prize is unavailable, discontinued, withdrawn, delayed, cannot reasonably be supplied, or is otherwise unavailable for reasons outside management's control. 10.5 Any substitute prize will be of equal or greater value, where reasonably practicable. 10.6 No cash alternative is available. 10.7 Prizes are not transferable or exchangeable unless management agrees otherwise in writing. 10.8 Participants should allow a reasonable period for prizes to be arranged and supplied. 10.9 Management is not responsible for delays caused by suppliers, manufacturers, delivery providers or other third parties, provided management takes reasonable steps to arrange the prize. 10.10 These are Prizes. Any tax, National Insurance or other employee-related liability arising from a prize will be dealt with in accordance with Group policy and applicable law. Participants should contact Payroll if they require clarification.
11. Cancelled orders
11.1 If a customer cancels a qualifying order after the sale has been approved, the sale will cease to count towards the event. 11.2 Any square or pick obtained solely as a result of that sale will be reversed. 11.3 Where the affected square is currently held by the participant who originally obtained it, it will revert to the person who held it immediately before that participant, or become free if nobody previously held it. 11.4 Where the square has subsequently been taken by another participant, that subsequent participant's square will not be automatically affected solely because the original sale was cancelled, unless the game system or management determines that the subsequent allocation itself depended upon the invalidated sale. 11.5 The original sale will be removed from the leaderboard and any associated statistics will be corrected. 11.6 Management may correct the board, leaderboard and square history where necessary to reflect a cancelled, reversed or invalidated sale.
12. Logging sales and late entries
12.1 Participants must log qualifying sales promptly and as soon as reasonably practicable after the sale is completed. 12.2 Participants must not deliberately delay logging sales in order to influence the availability of squares, prevent another participant from taking a square, or otherwise gain an unfair advantage. 12.3 The game site may identify patterns of unusually late logging and flag them to management. 12.4 A flag is not, by itself, evidence of wrongdoing. Management will consider the circumstances and any reasonable explanation provided by the participant. 12.5 Where management determines that a participant has deliberately withheld or delayed qualifying sales for the purpose of manipulating the event, the participant may be removed from the event for the relevant month or other applicable period. 12.6 In such circumstances: all squares held by that participant may be returned to the person who held them immediately beforehand, or to the pool of free squares where there was no previous holder; the participant may be prevented from logging further sales until management confirms that they may re-enter the event; and the participant may be subject to the Group's normal disciplinary or conduct procedures where appropriate.
13. Fraud, misconduct and manipulation
13.1 Participants must act honestly and in accordance with these rules. 13.2 It is prohibited to: log a sale which is not genuine; log a sale in another participant's name; deliberately provide false or misleading information; manipulate or attempt to manipulate the board; coordinate square selections in order to influence the outcome; deliberately withhold sales; interfere with the game system; or otherwise attempt to obtain an unfair advantage. 13.3 A breach may result in removal from the event, loss or reversal of squares, correction of leaderboard results and/or referral under the Group's normal conduct or disciplinary procedures. 13.4 Management may take proportionate action having regard to the nature and seriousness of the breach.
14. Technical issues and administrative errors
14.1 The game is dependent on software, communications systems and other technology. Management will take reasonable steps to correct material technical or administrative errors. 14.2 Where a technical error materially affects a sale, pick, square allocation, leaderboard position or prize outcome, management may correct the affected result or, where necessary, suspend the relevant part of the event while the issue is investigated. 14.3 Participants must not exploit a known technical fault or error to gain an advantage. 14.4 Management is not responsible for a participant's failure to receive or use a game link where this results from incorrect contact details, email filtering, mailbox restrictions, device issues or other circumstances outside management's reasonable control.
15. Participant information and photographs
15.1 A participant's name and dealership will appear on the game board. 15.2 Where a participant uploads a photograph, that photograph may also appear on the game board. 15.3 The board may be accessible to anyone who has the relevant game link and may be displayed on screens within Group premises, including showroom screens. 15.4 Participants who do not wish their photograph to be displayed should notify management before uploading one or contact management to request its removal. 15.5 Management will handle participant information in accordance with applicable Group policies and applicable data protection law.
16. Changes, suspension or cancellation
16.1 Management reserves the right, where reasonably necessary, to amend, suspend, extend, shorten or withdraw the event, a round, a board or an individual prize. 16.2 This may include changes required because of operational circumstances, technical issues, supplier availability, legal or regulatory requirements, or circumstances affecting the fairness or integrity of the event. 16.3 Where a material change is made, management will communicate it to participants as soon as reasonably practicable. 16.4 Management will not make a change for the purpose of unfairly benefiting or disadvantaging a particular participant. 16.5 If the event is withdrawn before prizes are revealed, management will communicate how any outstanding sales, picks and prizes will be dealt with.
17. Management decisions and disputes
17.1 Questions or disputes should first be raised with group admin as soon as reasonably practicable. 17.2 Management may review relevant sales records, order records, game records and other information reasonably required to determine the matter. 17.3 Management's decision on whether a sale qualifies, whether a square or pick is valid, whether a participant has complied with the rules, and how a prize should be allocated will be final, subject to correction of an obvious administrative or technical error. 17.4 Participants must cooperate reasonably with any investigation into a disputed sale, square, pick or prize. 17.5 No dispute may be used as a reason to delay the closing of the event or final reveal unless management expressly decides otherwise.
18. Closing of the event
18.1 The event closes when the final reveal takes place or at any earlier closing time expressly notified by management. 18.2 At closure: the board is locked; no further sales will be approved for the event; no further squares may be selected; unused picks are forfeited; the leaderboard is closed; and no result will be reopened or reinstated except to correct an administrative or technical error or to deal with a later cancellation or non-delivery in accordance with these rules. 18.3 Participants are responsible for ensuring that qualifying sales are logged and that available picks are used before the relevant deadlines. 18.4 Participation in the event constitutes acceptance of these rules.
